SMQMC MEETING MINUTES
Meeting was called to order by President Tony Romano at 7:45 PM. Motion to accept minutes was made by Betty Wilcox, 2nd by Mike Ferguson, all in favor. Motion was made to accept Treasurer's report by Rick Zacharias, 2nd by Todd Weigand, all in favor. FUNDRAISING REPORT: Balance as of January 7, 2004 is $1,154.00, there will be an extra $199.00 deposited that was turned in at the meeting for the 50/50 fundraiser. Denise Proctor, Fundraising chairperson thanked everyone for their help on the Breakfast with Santa Fundraiser. She apologized to the Quartermidget club for not including them in the 50/50 raffle as it was given out at the Microd Banquet which was before she had the names and addresses of the Quartermidget members. New Fundraiser to be held - February 18, 2004 - the Syracuse Crunch Game. The game starts at 7:00 PM. The children will be singing the National Anthem before the game. We will be selling pucks, there will be a 50/50 table and we will be raffling off a Crunch Clock that was made out of a racing tire. Price of admission - $5.00 for kids, $10.00 for adults. Anyone interested in attending should contact Denise Proctor. The fundraisers that are out right now are due in on January 18, 2004. Tony Romano thanked Denise for all her hard work. NEW TRACK: Tony mention that we were waiting for the letter from QMA on the status of whether they will allow the Quarter Midgets to run on the new track as designed. Both Any Pearson and Michelle Barzee had received letter from QMA. The only issue seems to be whether the inside pit lane and flag pole will be allowed. QMA wants the pits on the outside of the track with nothing in the middle of the track. Some discussion ensued as the Microds use the inside of the track for pitting, handlers to stand and race director. It was decided to get a committee together to discuss the issue and make a decision. The committee will consist of QM members - Andy Pearson, Todd Weigand, Larry Taylor and Microd members - Karl Schartner, Tony Sobon, Tom Wilcox, Jr. Tony Romano will be also be on the committee. They will meet on January 13, 2004 at 7:00 PM at the Western Ranch. Now that we have the final letter, Tony Romano will call Peter Cappucilli to make arrangements to for the original track committee to get together with Peter and the architect. He will try to have the drawing at the next club meeting. It was brought up that we should look into our insurance as to other insurance issues not involved in the racing aspect, such as a playground area, ex: Swings, slide, etc. will this all be covered or do we need additional insurance. A question was asked as to when and if we would have an actual figure on what the new track and facility will cost. Tony stated he was not sure if we would ever have an exact figure. It was clarified that there is Power, water, gas, we will have our own bathrooms with standup showers. The fair will fill in the main ditch that is there. SOFTWALLS: Karl Schartner reported on the softwalls, he spent $2,850.00, he has 600 ft. of material cut to size, 28" x 10', black walls we will have to add the white strip. The material will be delivered after January 10, 2004. It was suggested to Karl that we not put the walls together unless the material is at 70 degrees. Karl did not purchase all the material that had originally been talked about because this material is available on-the-spot, so we can get more as needed. We have approximately 60 tires, will be getting more soon. The bolts needed run approximately 30- 40 cents apiece it was suggested we try and get them donated because of the cost factor. Tony Romano said he would contact the fair to see if the "cow palace" would be available soon, as it is heated and the work could be started on the walls. It was suggested that we store the material and wait until spring to put them together, maybe on clean up day. It would also give us more time to get more tires. It was agreed to wait until spring. NON-PROFIT STATUS: Andy Fusco has all the paperwork that is needed to get working on the Non-profit status, hopefully we will hear something soon. RADIOS: Tony Romano talked with Ear-Tech and they informed him that the radios are okay, it is the headsets that are bad. He was told if we send down two radios, they will make up two headsets and send them back to us for trial, if we like them we can order more, if not, we send the headsets back and it costs us nothing. Motion was made by Randy Jordan to send two radios to Ear-Tech for trial headsets, 2nd by Tony Sobon, all in favor. DRIVERS VILLAGE RACE: The race is set for June 4, 5, 6, 2004 at the Drivers Village at Penn Can Mall. The Quartermidges voiced a problem with the June 6th date as they said it was a points race at the Fulton Club. A suggestion was made that they run their heats & features on Saturday. It was also suggested that they contact the president of the Fulton Club and ask that that date not be a scheduled race at their track. The Fulton Track is supposed to be invited to attend the race as were all the NYS Microd clubs. They would like to hold a fundraiser at either Brewerton or Fulton on that weekend to help raise money for the track. It was suggested that we go to Fulton Track on June 5, 2004 and go to Brewerton Track on June 10, 2004. Tony Romano will get with the Quartermidget President, regarding the Microds state race which will be held June 18, 19, 20, 2004 to see if something can be worked out with them as they race on Friday nights. The Indoor race is scheduled for April 9 - 11, 2004. The club will race on April 11, 2004. This is Easter weekend. The motorsports expo is to be held March 19 - 21. These dates are questionable. We will have to double check on them to be sure. There was a nomination from the floor for Jim Smith to be Treasurer as there was no Treasurer elected at the December meeting. 2nd by Todd Weigand, all in favor. Tony Romano thanked Michelle Barzee and Andy Pearson for all their hard work with QMA. He thanked everyone for coming out on such a bad night. Chris Osetch won the 50/50 fundraiser of $200.00. It was reported that we made a profit of $5,455.00 on the calendar fundraiser.
