Meeting was called to order by President Tony Sobon at 8:42 PM. Kelly Forbes made motion to accept minutes as written, 2nd by Rick Zacharias - all in favor. 50/50 report was read and accepted as written Still checking on the Quartermidget fees. Jim Smith to find out what the $80.00 goes for. The Quartermidgets pay more in insurance so we need to find out how much of the $80.00 is their insurance and how much goes to the club. The sign looked good for the car show. The mix-up with the custom car show was there was a mailing that went out to be signed and we never received one to sign and send back. Tony Romano was told we were not on their mailing list. Fred Lucas was always the contact but Fred is no longer involved. We have been put on their mailing list so this should no longer be a problem. The picture book is done and sent to Willie Tuttle to make copies. It may take a while to get it back as he can't make a lot of copies at one time. We are now open for donations. The meeting with Lori Wilcox's boss was cancelled due to the fact that Tony Sobon was out of town. It was decided that the meeting is still wanted and will try to be set up for April 22, 2004 at the Western Ranch. Some of the questions are can the person/company that makes a donation claim that if we are nonprofit. We are going to be nonprofit 501C. There was a discussion on having an assessment and on raising the dues a percentage each year. It was discussed to have each driver pay more each race(for example, $5.00 more per driver or car). It was discussed to have a set assessment for each family and give them fund raisers to be able to raise money for their assessment. The other discussion was about only assessing families when we need to replenish the general fund and just raising the dues a certain percentage each year. The main concerns for the assessment were: who would take care of keeping track of the amount for each family. Would it be fair for a family who paid the money up front to not be involved in any of the fundraisers. If there is more than one driver, how will the assessment be handled and what do we do if they don't raise the money or pay it outright. A question was raised as to what happened to the extra $2.00 a race we started a few years ago. It was thought that it was to be put in a separate fund. It was decided that it all went into the general fund as the quarter midgets had already raised their race fee to $10.00. Joe Gwilt is doing a nice job on the website. Website address is Syracusemicrodclub.com. Missy Babcock will check on club patches. Jim Smith will take care of getting copies of the schedule. Motion to accept the design on the Heat win stickers. All in favor. Dave Kimball will pay for the stickers and he will keep them in his trailer. All drivers that win a heat will get a sticker from Dave at his trailer after their heat. Missy Babcock will do weekly points flyer. Will make sure heat winner is somehow noted. Jeanne Ferguson is doing well, as is the Hampton family. The tech meeting on Sunday, April 3, 2004 went well, went over how to tech cars & motors. Anyone racing on the state must make sure Tom Wilcox has checked over their car. Motion was made to just order State Inspection stickers. All in favor, but Rick Zacharias Doug Gwilt thanked everyone for the donation and for attending his father's services. Ray Doty is willing to fill in to flag if we need him to The Quartermidgets will be doing the mowing of the track in May, July. We will mow in June and August. Missy Babcock will contact Mike Darmento to see if he is willing to help out at the track this year even though he isn't racing. Tony checked into the building and the blocks with Barnes & Cohen(?). They will donate the blocks but if they have to charge they will only charge us 25 cents a block. He is looking at a 16 X 24 building. Tony Romano will try to set up a meeting on 4/22/04 with both boards to discuss raising the fees and then we will go over the rule book. The meeting will be at 7:00 PM at the Western Ranch.
